What we collect on micro-it.net — analytics cookies, forms, the Iris chat assistant, SMS opt-ins — which providers process it, how long we keep it, and how to opt out.

Micro-IT is committed to protecting your personal information. This policy describes, in plain language, what our website (micro-it.net) and communication programs actually collect, which service providers process it on our behalf, how long we keep it, and how to opt out. We never sell your personal information, and we never share it with third parties for their own marketing.
Who we are.
This website is operated by Micro-IT, LLC, 55 Paradise Ln, Metropolis, IL 62960. Micro-IT is the controller of the personal information described in this policy. Questions and requests about it go to support@micro-it.net.
Website analytics & cookies.
Every page on this site uses Google Analytics 4 (provided by Google LLC) to measure which pages are visited and which actions are taken (for example, submitting a form or opening the booking calendar). Google Analytics sets browser cookies (names beginning with _ga), collects a device identifier, and derives an approximate location from your network address. We use this data only in aggregate — to understand what content is useful and where visitors come from. We do not send your name, email, or other directly identifying details to Google Analytics. You can opt out with the Google Analytics opt-out browser add-on, or by blocking analytics scripts with a browser privacy extension — every part of this site keeps working without them.
Every page also loads Cloudflare Web Analytics, a lightweight measurement script served by Cloudflare that records page views and page-speed measurements (Core Web Vitals) and reports them to us only in aggregate. Cloudflare states that this script sets no cookies, stores nothing in your browser, and does not use your network address or browser details to identify or track you. Blocking analytics scripts stops it as well.
The site also stores a few small values in your browser itself (not sent to any analytics service): a session record of the page and campaign that brought you here (so a form you submit later can tell us how you found us), and the chat widget’s open/closed state and message history so a conversation survives page navigation. These clear when your session or browser storage is cleared.
Forms & lead requests.
When you submit any form on this site (contact, quote or plan estimate, quiz, partner or careers inquiry, SMS opt-in, or the IT-risk assessment), the details you enter are emailed to our team through Resend, our email delivery provider, and stored as a business record in our own systems. For fraud prevention and follow-up context, each submission also records a timestamp, your network (IP) address, an approximate city/region derived from it, your browser’s user-agent string, and the page and campaign that brought you to the site. Forms are protected by Cloudflare Turnstile bot detection, which processes a challenge token and your network address to distinguish humans from bots. A résumé sent through the careers form or by email is kept for 12 months, then deleted — email support@micro-it.net any time to have yours removed sooner.
Website chat assistant (Iris).
Iris, the chat assistant on this site, is an AI assistant, not a person. Conversations may be stored for up to 90 days to improve service; a real person from Micro-IT follows up on anything you ask us to act on.
Our website offers an AI assistant (“Iris”) that answers questions and can help you book a call or request a quote. The messages you send, together with the rest of that conversation, are sent to Anthropic (the AI provider whose model generates Iris’s responses) for processing. Conversation transcripts — along with the page you chatted from, your referrer, your country/region, and a one-way-hashed browser signature — are stored for up to 90 days as noted above, then automatically deleted. If you choose to share contact details in the chat (such as your name and email), those details, a short excerpt of the recent conversation, and your network (IP) address are emailed to our team so we can follow up. Chat content is never sold or shared for marketing. To request removal of a chat record, email support@micro-it.net.
Booking a call.
Call scheduling on this site is provided by Calendly. When you open the booking calendar, Calendly’s embedded scheduler loads from its servers, and any details you enter there (or that we prefill from a form you just submitted — typically your name, email, and a short note) are processed by Calendly under its own privacy policy to create the meeting. Because our visitors are US-based and this policy already discloses Calendly’s role, we load the scheduler with Calendly’s own cookie-consent banner suppressed (hide_gdpr_banner=1); Calendly still sets its own cookies under its own privacy policy when the calendar opens.
Email newsletter & occasional notes.
If you subscribe to the Micro-IT brief, your email address is stored with Resend, our email platform. Signup is single opt-in — entering your email adds you right away. We only add you to the list when you actually subscribe — sharing your email in a chat or form does not enroll you in the newsletter. Every email we send includes a working one-click unsubscribe link, and opt-outs are honored immediately.
SMS communications.
When you opt into SMS communications, we collect your mobile phone number and may associate it with your name, business, or service account. Your phone number is used solely to deliver SMS messages regarding support tickets, system alerts, scheduled maintenance, and event reminders. SMS messages are delivered through secure third-party providers who comply with applicable privacy and security standards and do not use your information for their own purposes. To stop receiving messages, reply STOP at any time.
Hosting & infrastructure.
This website runs on Cloudflare, which processes standard connection data (network addresses, request logs) to serve and secure the site, and provides the Cloudflare Web Analytics measurement described above. Data we store — such as chat transcripts and lead records — lives in Cloudflare’s infrastructure and our business email.
Service providers.
The third parties that process personal information on our behalf are: Google (website analytics), Anthropic (chat response generation), Resend (email delivery and newsletter list), Cloudflare (hosting, bot protection, web analytics, data storage), and Calendly (call scheduling). Each receives only what it needs for its function, and none of them may use your information for their own marketing.
Retention.
Chat transcripts and related session records are deleted after 90 days. Form submissions and lead records are kept as ordinary business records for as long as they’re relevant to serving you or documenting consent. Analytics data is retained per our Google Analytics settings.
Data protection.
We use commercially reasonable security measures to protect your data from unauthorized access, disclosure, or misuse.
Your choices.
To stop receiving texts, reply STOP at any time; every email we send has an unsubscribe link. To see, correct, or delete the information we hold about you, email support@micro-it.net or call 270.816.5726 and we’ll take care of it. We do not sell your personal information and do not share it with third parties for their own marketing, so there is no sale or sharing to opt out of; where a law treats a Global Privacy Control browser signal as an opt-out request, we honor it the same way.
Changes to this policy.
When this policy changes, we update the “Last updated” date at the top of this page and note what changed beneath it. If a change materially affects information you have already given us, we email the address we hold for you before it takes effect.
