A useful planning band for a typical small office is roughly $2,500–$4,500 per employee per year all-in — managed support and security, software licensing, and a hardware refresh reserve. Unit-based budgeting (per person, per device, per location) is more reliable than percent-of-revenue rules because IT cost tracks headcount and equipment, not sales. What does this calculator include and exclude?
Included: managed IT support and the security stack, mainstream software licensing, and an annualized hardware refresh reserve. Excluded: one-time projects (office build-outs, migrations), internet circuits and phone service, and industry-specific software with unusual pricing. Those vary too much to estimate honestly without a conversation.
Is the result a quote?
